Our client, a leading provider of facilities services in the UK, is seeking an Operational Delivery Administrator to support the effective delivery of Planned Preventative Maintenance (PPM) and Reactive maintenance across a Government Property Account (GPA).
Job Overview
This role plays a key part in ensuring the smooth coordination and completion of operational tasks across multiple stakeholders. The post holder will provide structured administrative support to operational teams and managers, helping to maintain oversight of performance, compliance and data accuracy in a fast‑paced environment.
Working closely with managers, helpdesks, engineers, suppliers and site-based contacts, the Operational Delivery Administrator will contribute to operational efficiency through effective communication, scheduling, documentation control and system updates. Attention to detail and confidence working with multiple data sets will be essential to success in this role.
Key Responsibilities
- Support Planned Preventative Maintenance (PPM) and Reactive operational delivery across the GPA account.
- Coordinate communication between key stakeholders, including operational managers, helpdesks and subcontractors, to ensure timely task completion.
- Provide administrative support to managers, including liaising with helpdesks, issuing work order updates, contacting suppliers and chasing documentation.
- Build effective working relationships with Team Leaders, engineers, suppliers and site-based contacts to support workload delivery.
- Schedule Planned and Reactive Maintenance inspections with relevant stakeholders and suppliers.
- Support operational teams by checking completion dates and ensuring task records are accurately captured on systems.
- Assist with internal audits, compliance sampling, system data checks and evidence compliance monitoring.
- Manage shared inboxes and maintain master contact lists to mitigate operational risk.
Person Specification
- Good numeracy and literacy skills.
- Strong Excel capability.
- Meticulous attention to detail.
- Ability to work with multiple data sets and systems to maintain performance oversight.
- Experience using management information systems (MIS).
- Previous experience in quality, compliance or administrative support roles.
- Ability to work effectively as part of a growing team in an ever‑changing environment.
- Organised, proactive and able to manage competing priorities.
